When Equipment Fails: Filing a Manufacturer Warranty Claim

A factory maintenance engineer calls. An inverter at a site your team commissioned eleven months ago is showing a fault and will not restart. You run the check from the warranty triage process: your own workmanship warranty covers the connection quality, but the equipment carries a five-year manufacturer warranty. The inverter manufacturer, not you, is responsible for the component.

Knowing which warranty applies is the first step. Getting the equipment replaced or repaired is the second, and that process runs through the manufacturer’s distributor, not through your own labour. It has its own documentation requirements, its own timeline, and its own risks if the claim is filed without the right records.

What Is the Difference Between Your Warranty and the Manufacturer’s?

Your workmanship warranty covers the installation: the quality of connections, the cable routing, the mounting structure, the protective settings. It is your obligation, resolved by sending your own technicians.

The manufacturer warranty covers the equipment itself: the inverter electronics, the LED driver board, the panel cells. It is the supplier’s obligation, and the path runs through the distributor who sold you the equipment or the manufacturer’s local service team.

A fault where your cabling is sound but the inverter’s internal components have failed is a manufacturer warranty claim. A fault where a terminal was never torqued is your workmanship. The distinction matters because the wrong response wastes time: sending your own technician to swap out a faulty inverter you do not stock is not the right first move.

What Triggers a Valid Manufacturer Warranty Claim?

Manufacturer warranties cover component failures under normal operating conditions during the warranty period. They do not cover:

  • Physical damage: a panel cracked by a falling object, an inverter cabinet dented in a factory accident
  • Operation outside rated parameters: an inverter consistently above its rated temperature because a ventilation grille was blocked, or a driver at the wrong supply voltage
  • Unauthorised modification: a unit opened and modified by someone other than an approved technician
  • Normal consumables: a fan that has reached its rated lifetime

Before filing a claim, confirm that none of these conditions apply. If the damage came from factory operations, the factory may owe you a remediation payment rather than the manufacturer owing you a replacement.

What Documentation Does a Supplier Usually Request?

Different manufacturers set their own claim procedures, but the information request follows a consistent pattern:

  • Proof of purchase and installation date: the supplier invoice, or the commissioning certificate showing when the system was energised
  • Fault description and error code: the exact error message, when it appeared, and the operating conditions preceding it
  • Installation photos: commissioning photos showing the equipment correctly installed, connections made, and the cabinet interior clear
  • Commissioning test records: for inverters, the initial string voltage and current measurements; for LED drivers, the initial output measurements
  • Site conditions: confirmation that ventilation clearances were maintained, operating temperature was within spec, and there are no signs of external damage

This is why the commissioning baseline record matters beyond the handover package. A claim without commissioning photographs or initial measurement records takes longer to resolve: the supplier has no reference point for the original condition.

How Do You Submit the Claim in Practice?

Most inverter and LED driver manufacturers in Thailand work through local distributors who manage warranty claims for their region. The process varies, but generally:

  1. Contact the distributor first, not the manufacturer directly. The distributor holds replacement stock and manages paperwork in Thai. A claim submitted directly to a foreign manufacturer takes longer to route.

  2. Submit the documentation together, not in pieces. A claim with a complete file is processed faster than one where the supplier is waiting for a photo that should have been attached at the start.

  3. Request written confirmation of claim receipt and an expected resolution timeline. Keep the reference number in the job record: if the factory asks for a progress update, you have something to show.

  4. Agree with the factory on how long to wait before escalating. For a site that is partially operational, a two-week response window may be acceptable. For a site that is completely down, communicate the urgency to the supplier from the start.

How Long Does the Process Take?

Replacement timelines depend on whether the supplier has stock in Thailand, whether the failed unit needs to be returned for inspection, and whether the model has been discontinued. Common scenarios:

  • Quick swap: distributor holds local stock; failed unit is collected, replacement installed within one to two weeks
  • Back-order: the model is under review; four to eight weeks
  • On-site repair: for larger inverters, the manufacturer may send a service technician rather than replace the unit; scheduling that visit adds time

Set expectations based on the actual scenario. A client told “two weeks” who waits six has a worse experience than one told “four to eight weeks” accurately and updated at regular intervals.

What Do You Tell the Factory While Waiting?

Your role during the supplier process is coordination, not manufacturing a replacement. Be specific:

  • “We have filed the warranty claim with the distributor. Reference number X. Two-week response window confirmed.”
  • “The supplier needs to inspect the unit before authorising a replacement. We are arranging collection.”
  • “The model is on a four-to-six week back-order. We will update you at week two.”

Vague updates (“we are following up”) leave the factory without anything concrete to report internally. Specific ones give them what they need to tell their own management why the system is partially down.

FAQ

Can you replace the failed unit yourself and claim reimbursement later?

Rarely. Most manufacturer warranties require the claim to go through their authorised process before any replacement is made. Replacing a unit without prior authorisation typically voids the warranty on the new unit and removes the claim on the failed one. Confirm the supplier’s policy before acting.

What if the manufacturer disputes the claim?

Request the reason for rejection in writing. Common grounds: the fault falls outside warranty coverage, or the documentation does not support normal operating conditions. If you disagree, your commissioning records are the evidence: installation photos, initial measurement values, and site conditions at commissioning.

Does this process apply to LED drivers the same way it applies to inverters?

The structure is the same. LED driver manufacturers work through local distributors, require commissioning documentation, and expect installation records. Timelines tend to be shorter (drivers are lower cost and often held in stock), but the documentation requirements do not change.

When a claim needs to move quickly, the factor that determines speed is how complete your original records are. The installation photo taken on commissioning day, the string measurement in the job order, the acceptance certificate that confirms the commissioning date: these are the claim’s supporting evidence, and they exist or they do not before the fault occurs.
